ABSTRACT

In today’s highly competitive business environment, effective management of customer complaints and timely provision of information are critical to maintaining customer satisfaction and loyalty. This project focuses on the development of a Customer Complaint and Information Service System designed to streamline the process ofregistering, tracking, and resolving customer complaints while providing easy access to relevant information. The system offers a user-friendly web-based platform that enables customers to submit complaints and inquiries conveniently from any location at any time. Upon submission, complaints are automatically categorized based on type and urgency, and assigned to the appropriate department or personnel for prompt action. Customers can monitor the progress of their complaints in real-time through a secure login interface, which fosters transparency and trust between customers and the organization. Internally, the system provides administrators and service agents with tools to efficiently manage and prioritize complaints, generate detailed reports, and analyze trends to identify common issues or areas needing improvement. Automated email and SMS notifications keep both customers and staff informed of status updates, reducing delays caused by manual follow-ups. The project employs modern web technologies including [specify if you want, e.g., PHP, MySQL, JavaScript] for the development of the system’s frontend and backend components. Data security and privacy are ensured through secure authentication mechanisms and encryption of sensitive information. The database design supports scalability, allowing the system to accommodate a growing volume of customer interactions. By digitizing and automating the complaint and information management processes, the system significantly reduces human errors, response times, and administrative workload, while enhancing customer engagement and satisfaction. This system is suitable for businesses ofvarious sizes seeking to improve their customer service operations and establish a structured feedback mechanism. The successful implementation of this system demonstrates its potential to improve organizational efficiency, support decision-making through actionable insights, and ultimately contribute to sustained customer loyalty and business growth.
